Which Los Gatos Records Are Open
Access depends on both the record and its custodian. Los Gatos Clerk files cover town business, while Santa Clara County holds deeds, assessment data, tax information, vital certificates, and jail data. The Superior Court keeps case files. State agencies maintain licenses, business entities, prison information, and other statewide records. The California Public Records Act, or CPRA, supplies a general request process, but a record-specific law can still limit release.

An online index is not the same as the complete file. Court dockets often identify a matter without publishing pleadings. Recorder tools help locate an instrument, while images and certified copies follow separate rules. Sealed cases, juvenile and adoption material, confidential marriages, protected voter addresses, private identity fields, and many police investigative records remain closed or redacted.
Los Gatos Town Request Routes
The Los Gatos Clerk Department accepts requests through an online form, postal mail, email to clerk@losgatosca.gov, an oral phone request, or an in-person visit. Written wording is recommended because it helps staff identify the file. Meeting agendas and packets also appear online, and copies of meeting documents may be sought from the Clerk under Government Code section 54954.1. The current town structure exposes two web routes. NextRequest provides a Make Request path and Clerk help, while a JustFOIA request form also appears in town quick links. Treat both as active entry points during the transition.

Its landing screen is one channel, not a replacement for email, mail, phone, or an office visit.

Los Gatos Recorder Record Access
Santa Clara County's recorder trail is strong but not fully online. Deeds, deeds of trust, liens, abstracts of judgment, and maps can name grantors, grantees, borrowers, trustees, and claimants. County guidance directs people who want to view recorded real-estate documents to the San Jose office. Digital Reel covers maps and documents recorded from 1850 through 1980. Older instruments may use book and page references.

That limit explains why a web result may be only the first part of the access process.

Los Gatos Recorded Copy Orders
Once the identifier is known, county instructions allow requests at kiosks, by email to bus-rdc@rec.sccgov.org, or by mail. The request includes document number or book/page, requester name and mailing address, with optional phone, party or title clue, and recording date.

Los Gatos Property Record Limits
Santa Clara County's assessor tool accepts a simple address, an advanced street search, or an assessor parcel number, commonly called an APN. It can show the parcel number, site address, assessed value, document number, map, mailing address, and other assessment data. Owner names are not displayed, and owner-name searching is not allowed.
The Assessor Real Property Search screen is therefore an address and parcel tool.
Its document number can bridge a parcel to the Clerk-Recorder copy process.
Insider tip. The recorder cannot search by street address or APN. Use the assessor's address search first, capture the document number, then move to recorder research or a copy request.
County GIS and Property Explorer add parcel geography, district, zoning, creek, fire, and hillside context. DTAC adds secured tax information by address or APN. This distinction matters around Los Gatos because a postal address may fall in the town, Monte Sereno, or an unincorporated hillside area. The correct custodian can change with the parcel boundary.
Los Gatos Court Record Channels
The Santa Clara Superior Court public portal covers civil, small claims, probate, some family, criminal, traffic, and local ordinance matters. A docket is the dated list of filings and events in a case. The portal may show a case number, party, filing date, type, event, and public status, but documents generally are not posted. Use courthouse terminals or the clerk copy process for available filings.
Criminal cases filed in 2004 or later can be searched by defendant name plus date of birth, or by defendant name plus filing month and year. Older criminal cases require the clerk or microfiche. Copy requests need a case number, full party or defendant name, and the exact document title and filing date when known. Clerk copies cost $0.50 per page.

Los Gatos Vital Record Copies
Santa Clara County issues certificates for county births, deaths, and marriages, while the California Department of Public Health handles statewide records and many amendments. County pages do not provide a public online name index for these events. Birth and death indexes were removed from the internet when SB 1614 took effect on January 1, 2003. That makes a certificate order, older library source, obituary, cemetery file, or funeral record the practical route.
The county birth certificate page asks for the named person's identity, event date and city, parent names, requester contact details, relationship, government identification, and payment.
The form reflects California's authorized-versus-informational copy system rather than an open birth index.
County certificate orders are available in person, by mail, or online through the county's authorized VitalChek service. Fees are $34 for birth, $26 for death, and $19 for marriage certificates, even when a search finds no matching record. A confidential marriage copy is limited to a party to that marriage or someone with a court order. Divorce case files and decrees remain with the court where the matter was filed.
Los Gatos Permit Record Cutoff
The Los Gatos permit search provides public viewing of pending and issued building permits from 1994 forward for parcels in town jurisdiction. A visitor who only wants to view permits does not need to register. Results may connect an address with permit applicants, contractors, work descriptions, issue dates, inspections, and available plan information, subject to privacy and security limits.
Older access is a different system. Pre-1994 permit history is kept in Laserfiche or microfiche at the Building Division counter, open for this research Monday through Friday from 8 a.m. to 1 p.m. Code Compliance files may require direct department contact or a town records request, and complainant or investigative details can be withheld.
Note: Verify town jurisdiction before using the permit portal, since some Los Gatos postal addresses sit outside the town boundary.
Los Gatos Police Record Access
Los Gatos-Monte Sereno Police handles releasable reports, collision records, public logs, and related local police files. The Records counter at 15900 Los Gatos Boulevard is open Monday through Thursday from 9 a.m. to 4 p.m. and Friday from 9 a.m. to 1 p.m.; the Records number is 408-354-5257. A town request portal offers another route. Juvenile, victim, investigative, sealed, and confidential content can be withheld.
Current county custody information is available through the Santa Clara County Sheriff's inmate search. State prison information is in CDCR's CIRIS locator. California's Megan's Law registry provides legally disclosable offender data and carries strict misuse warnings. Custody data is not a final court disposition, so verify a charge or outcome with the Superior Court record.
Los Gatos Records Offices
Three offices resolve much of the local access system. The Town Clerk routes municipal material, the County Clerk-Recorder handles official and vital records, and Police Records manages releasable department files. Courts, assessor data, taxes, and state files stay with their own custodians.

A custodian is the office responsible for keeping and responding for a record. Sending a request to the right custodian is often the fastest way to avoid delay.
Requesting California Public Records
Government Code section 7922.535 gives a California agency 10 days to determine whether a request seeks disclosable records and to state its decision and reasons in writing. Unusual circumstances permit a written extension of up to 14 days. This is a determination deadline, not a promise that all responsive copies will arrive within 10 days.
- Name the office that keeps the record. A town permit, county deed, and court filing go to different custodians.
- Check the official index or portal. Save the case number, APN, document number, date, title, or party name that identifies the item.
- Submit a focused request through the listed portal, email, mail, phone, or counter channel. Ask for inspection or electronic copies when suitable.
- Review the response for withheld portions, cited exemptions, estimated duplication cost, and the expected production schedule.
- If the wording was too broad, narrow it by date, department, address, or record title. Ask the agency to explain any denial.
Government Code section 7922.530 requires prompt access and limits ordinary copy charges to direct duplication cost unless another statute sets the fee. It also permits personal equipment to photograph records on agency premises when doing so will not harm the material, impair security, or violate reasonable office rules.
Lawful use. Open access does not authorize stalking, harassment, threats, impersonation, or an attempt to defeat a protected-address program. Follow each portal's terms and California law.
Los Gatos Record Copy Fees
Fees depend on the office and product. Recorder copies cost $4 for the first page, $2 for each added page, and $2 for certification. Credit-card processing is $2.50 at the counter and $6 for an email request. These are copy costs, not the larger schedule for recording a new instrument.
Court clerk copies cost $0.50 per page, with possible search fees when a requester cannot provide enough file detail. Vital certificate charges are fixed by record type. Online tax and assessment searches are free, while payment processing can carry a separate charge. CPRA inspection itself differs from buying a certified copy.
Note: Official-looking deed-copy solicitations may quote far more than county charges; compare any offer with the Clerk-Recorder's published fee schedule.
Los Gatos Record Privacy Boundaries
California access law does not erase other confidentiality rules. Court systems withhold sealed cases, juvenile and adoption files, victim identity data, probation reports, protected orders, and medical or financial details. Recorder documents may redact Social Security numbers and other private identifiers. Military discharge records can have special limits. Police departments may withhold investigative and protected-person material.
Safe at Home supplies qualified participants with a substitute mailing address and can shield an address in voter and other systems. Commercial data-broker deletion through California's DROP platform is separate from official records, so a broker deletion does not remove a deed or court file held by a public agency.
